Job Description

Position Objective:

To provide administrative assistance to the Legal and Corporate Affairs Department

 

Primary Responsibilities and Duties:

• Maintain and prepare financial records and reports for the department, including by completing tasks connected to paying invoices, completing credit card reports, and submitting requests for reimbursement

• Make travel arrangements for department staff

• Assist with contract administration for PETA Foundation and its supported organizations, including by drafting contracts and amendments under the supervision of an attorney, routing contracts for signatures, updating and maintaining PETA Foundation’s contract database, and scheduling and updating contract expiration and review alerts

• Schedule PETA Foundation and supported organizations’ board meetings, draft meeting agendas, minutes, and resolutions, and communicate with board members about board administration matters

• Assist the Human Resources Department with administration of various legal compliance requirements, including by reconciling and submitting biweekly HSA deductions

• Assist with collecting and logging PETA’s lobbying activity and expenses, and file related reports

• Assist with collecting information for and completing insurance applications

• Schedule, run, and take minutes during department meetings and events

• Collect weekly reports from attorneys and support staff, and compile and distribute the same

• Collect and compile department victories and submit related web and ticker requests

• Open, scan, and distribute department mail at the Washington, DC office

• Handle calls to and voicemail messages left for Washington, DC office

• Handle other administrative tasks including, without limitation, print and binder production requests, requests to proof and finalize letters, and requests for administrative support from attorneys

• Work primarily from PETA Foundation’s office in Washington, D.C. with the possibility of a future partial remote schedule

• Maintain confidentiality at all times

• Perform any other duties assigned by the supervisor

 

Qualifications:

• College degree or equivalent relevant professional experience

• Working knowledge of Microsoft Office/365, including Word and Excel, and other software such as contract databases (ContractLogix preferred), document retention systems (Worldox preferred), electronic signature applications (DocuSign preferred), and video conferencing applications (Zoom and Teams preferred)

• Demonstrated thorough knowledge of animal rights issues and PETA campaigns

• Proven excellent research and analytical skills

• Demonstrated effective written and verbal communication skills

• Proven organizational skills and meticulous attention to detail

• Demonstrated ability to handle multiple tasks and prioritize work

• Demonstrated ability to maintain strict confidentiality at all times

• Self-motivation and the proven ability to work independently and as part of a team

• This position requires proof of the COVID-19 full vaccination
